NOTICE OF EVALUATION TEAM MEETING

ERP SOFTWARE AND IMPLEMENTATION SERVICES
The City of Palm Bay’s Evaluation Team for the above identified project will meet to field demonstrations for the below shortlisted Firms. The Demonstrations will take place at City Hall
Council Chambers, located at 120 Malabar Rd SE Palm Bay, FL 32907.
In accordance with Florida Statutes § 286.011, governing open meetings and public records, the forthcoming meetings will be both recorded and accessible to the public. However, the session will enter a closed or "shade" segment in compliance with statutory requirements when firms initiate their demonstrations. All proprietary and cyber security information disclosed in the demonstration
will be exempt from public record. Following this, the meeting will reconvene in an open, or "sunshine," status to permit public commentary. All stakeholders are invited to participate in this public meeting either in person or through a telephonic conference facilitated via Microsoft Teams.

The demonstration schedule is as follows:
- American Data Group Dates: September 11, 12, and 13
- Tyler Technologies, Inc Dates: September 18, 19, and 20
- Highstreet IT Solutions, LLC Dates: September 25, 26, and 27
- Workday (Software Only) Dates: October 2 and 3
- Teller (Software Only) Date: October 4
- Avaap U.S.A. LLC Date: October 9
- Cognizant Technology Solutions US Corporation Date: October 10
As two (2) of the shortlisted Firms have submitted the same Software provider (Workday), the City intends to allow that provider to demonstrate the software on behalf of both Firms. As Teller was also provided by one of those Firms, we intend to hold a separate meeting for that demonstration as well. The Firms’ position in the above-mentioned demonstration scheduled was selected at random. Each Firm will be provided the demonstration agenda approximately two (2) weeks prior to the scheduled meeting. Firms should report to the demonstration location with the requisite technological equipment to adequately demonstrate their software application. Each Firm will have to ability to meet prior to the meeting, to identify if any technological requests shall be made. If an individual decides to appeal any decision made by the City with respect to any matter considered at this meeting, a record of the proceedings will be required, and the individual will need to ensure that a verbatim transcript of the proceedings is made, which record includes the testimony and evidence upon which the appeal is based (FS 286.0105). Such person must provide a method for recording the proceedings verbatim.
